May seem a bit strange to bring this up when we still haven't done EK12 at this point BUT ..After AGM I made enquiries about hiring the YHA site solus so we could host the do accommodation included .
Today a nice chap called me with how much it'll cost ... Stratford upon Avon , where we asked about has 100 bed spaces so we'd need to sell them all to break even or have to inflate cost to cover ..
An alternative was put forward and has 74 bed spaces .. so inclusive of breakfast a packed lunch and evening meal it'll be £65 a night So £130 per person for the weekend all in .. This location is near Swadlincote Derbyshire ..
The quote is £9550 to hire though only a deposit to hold ..

Another possible is Iron bridge ( Telford/ Coalbrookdale ) with 64 beds ..

I'm posting on general to get a view from peeps but I only have a week to play with a this point...
I will need a committee of a few volunteeers ...in due coarse..

Questions ...Is there interest ..no tents ..no shopping ..etc ..
Can we fill 74 spaces incl international ...and hopefully get some FB ers to join us as it's faffless

This will go onto committee area when we discussed it here ..

Sadly as said the quote was only valid for a short period, which is about to pass.. Response to the questions and comments were if I gonna be honest , as expected but no as I hoped .combination of people away people don't check the forum as frequently as I do and of course the old I'll look at it later approach means I'll have to call Tim and say cheers but no cheers.
A had a little feedback in personal conversations , which concluded that although £63 a night all in is indeed a good deal ,
Although a deposit would lock in the site , but from there on we'd need to collect payment on line which is proving an issue just to collect membership fees and regalia as it needs a link to a payment choice site , which I can'y see us sorting any time soon .
complications with people not wishing to share , some only being able to do 1 night they'll have to pay for 2 nights , unless someone can do the other which is extra admin for someone ,, Also some may and wish to camp , which could involve an issue on H&S grounds of the YHA chosen ..( available ammenities 24hrs outdoors ....bogs fire pickets etc.)
That said I now have 2 years to sort summat ..( actually only 13 months to give enough notice and for the chosen sites to respond to emails and for the chosen committee to visit the site!)
I have a few in mind we've not been there before and the search will include hotels nearby should they be required .
August will be the chosen month of 2028.. which weekend ?

August's 3rd weekend had worked out over the years as always a good choice, I believe.

Back in the day when camping was still frowned upon by the Katana crowd, me and a few mates organized a Rally hiring a whole youth hostel with some 120 beds. That was reasonable cheap and booked out quickly, leaving enough space around the house for an additional crowd camping. Maybe a possible way to go again around your neck of the woods? Don't know anything about youth hostel prices nowadays, though.

It was a youth hostel that I was dealing with ..We have been using them in the recent years ... but the issues I mentioned have been ones that we've had to deal with ..... Back in the day it may have been a touch easier to organise here aswell , the clubs were larger and the people more enthusiastic , now everything is done online people leave it until the last minute .. But thanks for the imput I was going to leave it until we meet in Germany and ask if there was interest but the advance booking schedule came in first , leaving me guessing really .
